Privacy policy

Your data, in plain English.

Last updated 24 September 2026

This policy explains what personal data OutreachOS collects through this website, its AI assistant and our WhatsApp number, what we do with it, and the rights you have over it.

Who we are

OutreachOS is a service of InnovaAI Integration Ltd, a company registered in England and Wales (company number 16443172). We are the data controller for the personal data described in this policy.

For anything about your data, including requests to see, correct or delete it, email compliance@innovaaiintegration.com.

This policy covers people who visit this website or contact us. If you gave your details to an exhibitor by scanning their OutreachOS QR code at an event, that exhibitor is the controller of your data and we process it on their behalf. Please contact the exhibitor about it first. We will help them respond.

What we collect

Waitlist form

Your name, company, work email, mobile number (optional), the event you're exhibiting at, the tier you're interested in, and your agreement to be contacted.

Call-back form

Your name, phone number and/or email, company or event, the best time to reach you, and anything you write in the message box.

AI assistant

The messages you type in the chat. If you ask for a call back, the details you give it (name, phone or email, company or event, best time and a short note).

Live demo

If you try the Stand B14 demo: your name, company (optional), email and/or mobile number, what you're interested in, which follow-ups you ticked, and a record of the demo email and WhatsApp we send you (including whether the WhatsApp was delivered and read).

Phone calls

If you call our calling number (+44 7401 192227), an AI assistant answers and takes a message: your number, your name if you give it, and a short summary of what you said. Calls aren’t recorded.

WhatsApp

If you message our WhatsApp number: your WhatsApp number, your WhatsApp profile name, and your messages.

Technical data

Like most websites, our hosting provider records basic technical information when you visit, such as your IP address, browser type and the pages requested. We use this to keep the site running and secure.

Please don't share sensitive information (for example about your health) in the chat, forms or on WhatsApp. We don't need it.

Why we use it

  • To reply to you. When you ask for a call back or message us, we use your details to get back to you. Our lawful basis is our legitimate interest in responding to enquiries, and taking steps at your request before you book.
  • To run the waitlist. When you join the waitlist and tick the box, we contact you about your event, setting up OutreachOS and your £50 discount. Our lawful basis is your consent, which you can withdraw at any time by emailing us.
  • To run the live demo. When you try the demo, we send you the one demo email and WhatsApp you asked for, and show you your demo lead. Our lawful basis is your consent, given by ticking the boxes on the demo form. We don't use demo details for marketing.
  • To answer your questions automatically. Our AI assistant answers questions about OutreachOS on the website and on WhatsApp. Our lawful basis is our legitimate interest in giving you quick answers.
  • To keep things secure. We filter out spam and misuse, and keep technical logs. Our lawful basis is our legitimate interest in protecting the service.

We don't sell your data, and we don't use it for advertising.

The AI assistant

The chat on this website and replies on our WhatsApp number come from an AI assistant, not a person. It answers from information we've given it about OutreachOS, and it can pass your details to our team if you ask for a call back. It does not make decisions about you that have legal or similarly significant effects.

To generate replies, your messages are processed by our chatbot provider and the AI model providers it uses (see below). If you'd rather speak to a person, ask the assistant for a call back or use the call-back form.

Who we share it with

We use a small number of service providers to run OutreachOS. They process personal data on our behalf, under contract, and only for the purposes above:

Vercel

Hosts this website and runs the code that receives form submissions (in London), and counts page visits with Vercel Web Analytics.

Supabase (London)

Our database, in London. It holds our own enquiries (waitlist sign-ups, call-back requests and WhatsApp conversations with our number), live demo entries, and the OutreachOS lead CRM: exhibitors’ sign-in details and the visitor leads captured on their QR forms, which we handle on the exhibitor’s behalf.

Resend

Sends our emails, including the live demo email, alerts to our team about new enquiries, and exhibitors’ follow-up emails sent on their behalf.

Voiceflow

Runs the AI assistant and keeps chat transcripts. Voiceflow uses third-party AI model providers to generate replies.

Twilio and WhatsApp

Deliver messages sent to and from our WhatsApp number, including exhibitors’ follow-ups sent on their behalf, and carry phone calls. WhatsApp is provided by Meta.

Vapi

Runs the AI phone assistant: the follow-up calls made on exhibitors’ behalf, and calls to our calling number. It uses OpenAI, ElevenLabs and Deepgram to understand and speak. Calls aren’t recorded, and we delete each call from Vapi once its summary is saved.

Google Fonts

Serves the typefaces on this site, which means your browser connects to Google's servers.

We may also share data if the law requires it, or with professional advisers where needed.

Transfers outside the UK

Some of these providers store or process data outside the UK, including in the United States. Where that happens, we rely on the safeguards UK data protection law allows, such as the UK–US data bridge for certified providers, or the UK's International Data Transfer Agreement or Addendum.

How long we keep it

  • Enquiries and waitlist entries: for up to 24 months after we last hear from you, unless you become a customer, in which case we keep what we need for the length of our relationship and any legal requirements after it.
  • Live demo entries: deleted automatically after 7 days. If you then message us on WhatsApp, that conversation is kept like any other (below).
  • Chat and WhatsApp conversations, and messages left on our calling number: for up to 12 months.
  • Technical logs: for the short periods set by our hosting provider.

These periods are enforced automatically: records past them are deleted every day. You can ask us to delete your data sooner (see below).

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct it, or to delete it;
  • ask us to restrict how we use it, or object to us using it;
  • ask for it in a portable format;
  • withdraw your consent at any time, where we rely on consent.

To use any of these rights, email compliance@innovaaiintegration.com. We'll reply within one month.

If you're unhappy with how we've handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies and storage

We don't use advertising cookies or analytics cookies. We count page visits with Vercel Web Analytics, which works without cookies and doesn't identify individual visitors. The chat assistant stores a random identifier and your conversation state in your browser's local storage so that the chat carries on if you move between pages. You can clear it at any time in your browser settings.

Changes to this policy

If we change how we use personal data, we'll update this page and the date at the top.
